Billing, Cancellation & Refund Policy

This Policy supplements the Terms of Service and distinguishes Birdies & Alibis platform charges from tournament participant charges.

1. League subscriptions

Paid league plans renew monthly or annually at the interval and price shown before checkout until canceled. Added capacity may create a separately disclosed recurring charge. Prices exclude applicable taxes, which may be calculated and added where Birdies & Alibis is registered or required to collect them.

A voluntary cancellation stops renewal and leaves access available through the end of the current paid billing period. It does not create an additional seven-day grace period. If a recurring payment fails, access may continue for a seven-day grace period while payment information is updated; access may lock after that period.

Subscription charges are nonrefundable except for a duplicate or erroneous charge, a written exception approved by Birdies & Alibis, or when required by law. Report a duplicate or erroneous charge within 30 days. We do not prorate unused time after cancellation or plan changes unless required by law. Subject to the configuration displayed at checkout, upgrades may take effect immediately and downgrades ordinarily take effect at the next renewal.

After lockout, an owner or administrator may request retrieval or export of available league data for 90 days. This is not a promise that the data will be deleted after 90 days.

2. Paper scorecard scan packs

Optional paper-scorecard OCR scan packs are separate from the underlying league or tournament plan. One-time scan packs and recurring scan add-ons are nonrefundable except for a duplicate or erroneous charge, a written exception approved by Birdies & Alibis, or when required by law. We do not provide prorated refunds for unused scans or unused time.

Unused one-time scans remain available while the associated account, league, organization, or tournament remains available, but the buyer is responsible for using them before closing or deleting the associated account or activity. They have no cash value and are not transferable. Included and recurring monthly scan allowances reset each usage period and unused recurring allowance does not roll over.

A recurring scan add-on renews at the interval displayed at checkout until canceled. Voluntary cancellation stops renewal and leaves the add-on available through its current paid billing period under the same cancellation rules as a league subscription. After that paid period, the additional recurring allowance ends. Ordinary manual and digital score entry remain available regardless of OCR allowance.

3. Service disruption

For a material Birdies & Alibis outage affecting a tournament, we will evaluate an appropriate refund or credit. For a material league outage, we may provide a proportional credit at our discretion, subject to applicable law.

4. Tournament platform fees

The organizer pays the one-time platform fee and any additional-capacity fee displayed before checkout. These charges are separate from participant entry fees. A platform fee is refundable only for a material Birdies & Alibis failure or when the organizer cancels before the tournament is published and before the first participant registration. Once the tournament has both been published and received its first registration, the platform fee and capacity fee are nonrefundable. If the organizer cancels afterward, Birdies & Alibis does not refund the platform fee.

5. Participant fees and organizer refunds

The organizer—not Birdies & Alibis—is responsible for the event, participant prices, add-ons, fulfillment, eligibility, cancellation terms, prizes, taxes, disputes, and refunds. For payments through a connected Stripe account, the organizer decides whether to issue a participant refund and must maintain sufficient funds. Birdies & Alibis provides technical refund tools but does not assume responsibility for that decision. For cash, Venmo, day-of-event, or other external payments, the Service only records a status such as “Externally Paid” or “Marked Paid by Organizer.” We do not receive, hold, verify, or reverse those funds.

6. Help

For a platform subscription, scan-pack, or platform-fee issue, email admin@birdiesandalibis.com with the account email, league or tournament name, date, amount, and reason. Do not send full card or bank numbers. For participant entry-fee questions, contact the tournament organizer shown on the registration page.
